REMINDER !
September 29th, 2013 is the Annual Meeting!
As in years past, your presence is requested at the annual meeting. It’s the time to hear about the status
of our finances, the projects that are planned and time to elect members to the board of directors. In short,
it’s time for your voice to be heard!
As in years past, we would also like to remind you that we require a minimum registered presence in order
to proceed with the meeting. Called "Quorum," this presence allows attendees to proceed with the decisions
that are needed to continue to the good functioning of our building. If we do not obtain Quorum, we
are obliged to reschedule the meeting for a future date and "start over." The extra cost is borne by all of us
and can be easily avoided!
The easiest way to obtain Quorum is to attend.
But if you cannot attend: Use your proxy !!!
YOU CAN USE YOUR PROXY IN TWO WAYS:
a) If you are confident in allowing the assembly to make decisions, give your vote to Quorum. Your voting
share will only be counted for the registered presence as noted above.
b) Give your proxy to someone you trust. Be it a director, spouse, neighbour or friend… it is your choice to
whom you assign your proxy.
DID YOU KNOW…
a) In order to vote on any matter, you must have a proxy. You are your own proxy if you own a condo unit
or a part of a condo unit and attend the meeting.
b) If you give your proxy to someone, you are permitted to alter or revoke that proxy. It can be limited to
the election of directors or specific votes. It can also exclude specific votes/ issues.
c) If you attend the meeting and do not revoke your proxy you are considered a visitor. You would participate
only as an observer without the possibility to vote, ask questions, or speak.
d) You are not required to use the proxy form provided. For simplicity in tabulating the information, our
form serves well. However, you may type or even handwrite a proxy suiting your needs.
e) It is the last proxy that you issue that counts. You can change your mind at any time. Your presence can
revoke your proxy just as issuing a new proxy just before the meeting can do the same…
Quorum and voting rights are among the most important matters relating to the annual meeting. It is
your responsibility to be aware of what you do with your proxy and to whom you assign it. The Building
Manager and many of the Directors understand these matters and it is our responsibility to inform you properly
on how to use your proxy. Contact us if you have any questions. We will be pleased to answer your
